Scope: This notice explains how LetGo uses personal data and necessary browser storage in connection with the website, accounts, bookings, payments, matching, communications and support services.
1. Who we are
LETGO CLEAN CO. LTD, trading as LetGo Clean Co., is the controller for personal data used to operate the Platform. An assigned Cleaning Provider normally acts as an independent controller for information it uses to perform the Cleaning Contract.
2. Information we use and why
| Information | Purpose and lawful basis |
|---|---|
| Account and contact information | To create and secure Accounts, communicate with Users and provide support. Bases: contract, pre-contract steps and legitimate interests in secure operation. |
| Booking and property information | To quote, match, confirm and administer cleaning services. Bases: contract and pre-contract steps. |
| Provider business, insurance, payout and tax information | To assess eligibility, administer payouts and meet legal reporting duties. Bases: pre-contract steps, contract, legal obligation and legitimate interests in safety and fraud prevention. |
| Payment and transaction records | To arrange payment setup, authorisation, capture, refunds and Provider payouts. Bases: contract, legal obligation and legitimate interests in payment and fraud management. LetGo does not ordinarily receive full card numbers or card security codes. |
| Messages, reviews, complaints, completion photographs and other supporting evidence | To deliver the service, resolve issues, protect Users and establish or defend legal claims. Bases: contract, legal obligation and legitimate interests. |
| Technical and security information | To authenticate Users, secure the Platform, prevent fraud and diagnose faults. Bases: legal obligation and legitimate interests. |
| Marketing preferences | To send permitted promotions and record opt-outs. Bases: consent or the permitted soft opt-in where its conditions apply. |
We do not normally need health, criminal-record or other specially protected information for an ordinary Booking. If such information is genuinely required, we will collect only what is necessary and provide any additional notice or safeguards required by law.
3. How we obtain information and what is required
We obtain information directly from Users, from another party to a Booking, from referees or verification sources where relevant, from public records where lawful, and automatically from use of the Platform and service-delivery systems.
Some information is required to create an Account, obtain a quote, confirm a Booking, accept a job, process payment or meet a legal duty. If it is not provided, we may be unable to provide the relevant feature or service.
4. Who we share information with
We do not sell personal data. We share only what is reasonably necessary with:
- the assigned Customer or Cleaning Provider for the Booking;
- payment and fraud-prevention service providers;
- cloud hosting, data storage, communications, sign-in, security and technical-support providers;
- insurers, accountants, lawyers, auditors and other professional advisers;
- tax authorities, regulators, courts and law-enforcement bodies where disclosure is required or permitted by law; and
- a genuine purchaser, investor or successor where necessary for a lawful business transaction.
5. International transfers
Some service providers may process personal data outside the UK. Where a restricted transfer occurs, LetGo uses a lawful mechanism such as UK adequacy regulations, the UK International Data Transfer Agreement, the UK Addendum to approved standard clauses or another permitted safeguard or exception. Contact us for information about the safeguards relevant to your data.
6. Matching, ranking and automated processing
The Platform may filter and rank eligible Providers using eligibility, service capability, location and availability, quality and reliability information, and fair-allocation rules. This helps decide which Providers receive an offer and in what order or batch. Exact algorithms and weightings are confidential.
LetGo does not intend to make final suspension, termination or complaint decisions solely by automated processing without meaningful human involvement. A Provider may request an explanation and human review of a materially adverse outcome.
7. Retention
| Record | Typical period or criterion |
|---|---|
| Accounts, Bookings, payments and core contract records | Normally for the relationship and up to 6 years afterwards where needed for tax, contract or legal claims. |
| Provider applications and verification | Unsuccessful applications are normally reviewed for deletion after 6 months. Verification evidence is kept only as long as necessary; a limited result may be retained longer where justified. |
| Routine messages and technical logs | Normally up to 2 years for routine Booking communications and up to 12 months for security logs, unless an incident or dispute requires longer. |
| Complaints, damage, insurance and legal matters | Normally up to 6 years after closure where relevant to claims or legal duties. |
| Marketing records | Until consent is withdrawn or an objection is made. A minimal suppression record may be kept to honour the opt-out. |
We may retain information longer where a legal hold, fraud investigation, chargeback, insurance claim or other legal duty requires it, and may anonymise information instead of deleting it.
8. Your rights
- access to personal data and information about its use;
- correction of inaccurate or incomplete data;
- erasure or restriction in applicable circumstances;
- data portability for eligible data;
- objection to processing based on legitimate interests and an absolute right to object to direct marketing;
- withdrawal of consent where consent is the basis; and
- safeguards, explanation and human review for qualifying automated decisions.
You may object to direct marketing at any time by using the unsubscribe method provided or contacting us.
Rights are not absolute. We may request proportionate identity evidence and normally respond within one month, subject to any lawful extension.
9. Security
LetGo uses measures appropriate to the risk, including access controls, authentication, restricted permissions, encryption in transit, supplier due diligence, logging, incident handling and data minimisation. No online service is completely risk-free. Users must protect their credentials and report suspected misuse promptly.
10. Marketing
Operational Booking and Account messages are not marketing. Promotional messages are sent only where permitted by law and include a way to opt out. Opting out of marketing does not stop necessary service messages.
11. Cookies and similar technologies
LetGo uses cookies, local storage and similar technologies where necessary for requested features, security, Account sign-in, payment and form continuity. Optional analytics, advertising or similar technologies will be used only where permitted by law and with the required information and choice.
| Technology and party | Purpose and status | Typical duration |
|---|---|---|
| Account and session storage - LetGo or an account service | Keeps a User signed in and protects the Account. Strictly necessary. | Session or the secure sign-in/refresh period. |
| Payment and fraud-prevention storage - payment service | Completes payment setup and protects transactions. Strictly necessary when checkout is used. | Session or the expiry set by the payment or fraud-prevention service. |
| Quote and form progress storage - LetGo | Preserves information during a requested quote, booking or application journey. Strictly necessary for that requested journey. | Session or until the form state is cleared. |
These technologies may be first-party or third-party. Information about any optional technology, including its purpose, relevant third party and duration, will be provided through this notice or the Platform before it is used where required. Browser settings can block or delete technologies, but this may prevent sign-in, form continuity or checkout from working.
12. Data protection complaints, changes and contact
Send a data protection complaint to info@letgocleaning.co.uk with the subject “Data protection complaint” or use any electronic complaint route provided on the Platform. LetGo will acknowledge the complaint within 30 days, investigate without undue delay, keep the complainant reasonably informed and communicate the outcome.
You may also complain to the Information Commissioner at https://ico.org.uk or telephone 0303 123 1113.
We may update this notice when the Platform, processing or law changes. Material changes will be communicated through the Platform or another appropriate channel.
